Users and licenses

Admin → Users lists everyone in your organization with their role, status, how they sign in (Microsoft, Password, or Not yet signed in) and when they were last active. The header shows how many licenses are in use, for example 12 of 50 licenses in use.

  • Your plan includes a number of users. Every active user uses one license, owners included.
  • Disabled users don’t use a license.
  • When all licenses are in use, Add user is disabled, re-enabling a user fails, and people can’t join automatically. Free a license by disabling or removing someone, or upgrade the plan.
  1. Choose Add user.
  2. Search your organization’s Microsoft 365 directory under Search your organization (needs a Microsoft sign-in), or type the Email and Name.
  3. Choose the Role: User, or Tenant Owner (manages users, billing and reports).
  4. Leave Email them a welcome message on to send a welcome email. It’s sent by the service in your name, with replies going to you.
  5. Choose Add user. They sign in with their Microsoft work account, in Teams or in the browser.

Instead of adding everyone, you can turn on automatic joining in Organization settings: anyone in your Microsoft 365 organization gets a User account the first time they open the app, while licenses are available.

Open the ⋯ menu on a user’s row:

Action Effect
Make tenant owner / Make regular user Change their role.
Disable They’re signed out everywhere at once and can’t sign in. Their license is freed.
Enable Allowed if a license is free.
Remove They lose access immediately. Their activity history is kept, and signing requests they sent stay in the organization.
  • Your organization must keep at least one active Tenant Owner, so the last one can’t be demoted, disabled or removed.
  • You can’t remove yourself; ask another owner.
  • Someone you remove can come back as a new user if automatic joining is on. To keep someone out, disable them instead.
