What signers see
Signers don’t need an account, a Microsoft login or any software. The link in their email is personal and is all they need.
-
Open the email and choose Review and sign. The page shows the document, who sent it, and the sender’s message.
-
Fill in the fields. Fields that are still required are highlighted. The N required left button jumps to the next one.
- Sign here / Initial: the first click opens a dialog to Draw, Type or upload an Image of the signature. It’s then used for every field of that type in the document.
- Full name is pre-filled with the name the sender entered; the signer can correct it.
- Date signed is filled in automatically when they finish.
- Text fields and checkboxes show the label the sender gave them.
-
Agree and finish. Tick the consent box, which reads:
I agree to use electronic records and signatures, and I intend my electronic signature to have the same legal effect as a handwritten signature.
then choose Finish signing.
Afterwards the page confirms they’ve signed. When everyone has signed, every recipient gets an email with the signed PDF attached (if it’s 10 MB or smaller) and a link to download it. The signing page itself also offers Download once the request is complete.
Declining
Section titled “Declining”Signers can choose Decline and give an optional reason. Declining stops the whole request: nobody else can sign, and the sender is emailed with the reason.
Signing in order
Section titled “Signing in order”If the sender chose an order, later signers get their invitation only when it’s their turn. Someone who opens their link early sees Others need to sign before you. We’ll email you when it’s your turn. Each signer sees the fields already completed by earlier signers.
When the link doesn’t work
Section titled “When the link doesn’t work”| What the page says | Why |
|---|---|
| The sender canceled this signing request. | The sender canceled it. |
| This signing request has expired. Ask the sender to send it again. | The expiry date passed. |
| Someone declined to sign, so this request was stopped. | Another signer declined. |
| This link can’t be used | The link is incomplete or wrong, or the sender’s organization is no longer active. Use the link from the most recent email. |
What’s recorded
Section titled “What’s recorded”The time a signer first opens the document on their turn is recorded. When they sign or decline, the time, IP address and browser are recorded too. The certificate of completion lists them for each signer.
