Opening and saving files

Open: File → Open from OneDrive or Teams… (or OneDrive or Teams on the start screen). The left column lists OneDrive and every team you belong to. Pick a team, then a channel, then browse its folders. You can open PDFs and images (PNG, JPEG, GIF, WebP).

Save: Save writes back to the file you opened. A cloud icon next to the file name shows where it will go. To save somewhere else, use File → Save to OneDrive or Teams…, pick a folder, type a name and choose Save here. If a file with that name exists you’re asked whether to replace it. Saved files are always PDFs; names can’t contain \ / : * ? " < > |.

Keep a local copy: File → Download a copy.

  • A Microsoft sign-in. Inside Teams this is automatic. In the browser, sign in with Sign in with Microsoft. If you signed in with email and password, the file dialog offers a Sign in with Microsoft button.
  • Your organization’s approval. If the dialog says your organization hasn’t approved the app’s access to Microsoft 365 files, an owner needs to approve it under Admin → Settings → Microsoft 365 (see Organization settings).
  • Access to the file. The app uses your own Microsoft 365 permissions. You see the same files you can open in OneDrive or Teams, and nothing more.
  • Size. Saving to Microsoft 365 accepts PDFs up to the server’s upload limit (25 MB unless the operator changed it).

Completed signing requests have Save to OneDrive or Teams on their detail page. If the document was sent from a OneDrive or Teams file, the dialog starts in that file’s folder. See Tracking signing requests.
