Signing emails
Signing emails are sent one of two ways:
- From your mailbox through Microsoft 365 (Microsoft Graph). The email comes from your own address and is saved in your Sent Items. This needs you to be signed in with Microsoft at the moment you act: always the case in Teams, and in the browser after Sign in with Microsoft.
- From the service through its email provider. The sender shows as Your Name via the service’s sender name, from the service’s address, with replies going to you (Reply-To). Emails that aren’t on your behalf come from the service’s address only.
| Sent to | When | How it’s sent | |
|---|---|---|---|
| Invitation (Please sign …) | Signers whose turn it is | When you send | From your mailbox if you’re signed in with Microsoft; otherwise, or if that fails, from the service on your behalf |
| Invitation for the next signers | The next group in an in-order request | When the previous group has signed | From the service on your behalf |
| Manual reminder | Signers whose turn it is who haven’t signed | When you choose Send reminder | From your mailbox if you’re signed in with Microsoft; otherwise from the service on your behalf |
| Automatic reminder | Same | On the schedule you chose | From the service on your behalf |
| Copy notice (… shared … with you) | People who get a copy | When you send | From the service |
| Completed | Every signer and copy recipient, and you | When the last signer finishes | From the service, with the signed PDF attached if it’s 10 MB or smaller, plus a download link |
| Declined | You | When a signer declines | From the service, with their reason |
| Canceled | Signers who were already invited | When the request is canceled | From the service, with your reason |
Other emails from the service: email confirmation and password reset for owners, a welcome message when an owner adds a user (on the owner’s behalf), and a payment-failed notice to owners. See Mailgun for how operators set up the sending domain.
