The editor

The editor opens when you start the app. With no document open you see four buttons: Open PDF, OneDrive or Teams, Create from images and Blank document. You can also drop PDF and image files anywhere on that screen; several files are combined into one document. Password-protected PDFs ask for their password when they open.

Once a document is open the window has:

  • The menu bar: File, Edit, View, Document and Help, plus the file name (click to rename), undo/redo, zoom, page navigation, the page organizer, Print and Save.
  • The ribbon: tabs of tools, described below. Pick a tool, then click or drag on the page. The pin button at the right end (Keep tool selected after use) keeps the tool active for several uses.
  • The sidebar (left) with four tabs: Pages (thumbnails), Bookmarks, Comments and Search & redact.
  • The properties panel (right) for the selected item or tool: font, color, size and similar settings.

The app logo at the top left switches between the Editor, Signing, and (for owners) Admin areas.

Opening, saving, exporting and printing documents, applying redactions, password-protecting and sending for signature are recorded in your organization’s activity report with the file name. The contents of files from your computer aren’t uploaded, unless you send them for signature.

  • Editing existing text covers the original line with whiteout and places new, editable text on top. The original characters stay in the file underneath, so use Redaction for anything sensitive. Only horizontal text can be edited, and the new text uses the closest standard font (Helvetica, Times or Courier).
  • New text uses the 14 standard PDF fonts, so characters outside Windows-1252 are replaced with ?.
  • Comments and markups are drawn into the page, so other PDF viewers don’t list them as editable annotations. Sticky notes and links are the exception: they’re real annotations.
  • Existing images and graphics can be deleted but not moved or edited in place. Gradient fills can’t be deleted yet, and neither can content in encrypted files.
  • Pages from password-protected files are turned into images when you save.
  • Typed signatures use Google Fonts; offline they fall back to the system’s cursive font.
  • Not available: digital certificate signatures, comparing files, converting to Word or Excel, accessibility tagging, JavaScript actions.
